APPLICATION POLICY AND PROCESS

Thank you for applying to rent with MacDoc Property Management! MacDoc is happy to have your interest and will do our best to complete your application as quickly as possible. Before you start the application forms please read ALL the following information so that you fully understand our Application Policy as well as our Tenant Screening & Evaluation Criteria. Our policies and screening process may change with legal requirements and as business needs dictate.

APPLICATION POLICY AND GUIDELINES
APPLICATION
- $60 Application Fee is Non Refundable. We only accept online applications
- All occupants 18 and older are required to complete an application.
- We cannot start to process your application until all supporting documentation is received by you and all other occupants.
- Application processing time is approximately 3 business days.
- Please note that our team cannot prescreen applicants over the phone. Our agents and office staff cannot discuss individual circumstances or predict application outcomes.
MULTIPLE APPLICATIONS
- We will accept multiple applications for a property.
- Properties are rented on a first-come, first-serve basis.
- The first APPROVED applicant to bring a Security Deposit will have secured the property for Lease.
- If the property is secured by another applicant prior to your application being completed, your application will still be valid for 90 days and can be applied to any other property you qualify for.
APPLICATION SCREENING PROCESS REQUIREMENTS
- Valid ID
- Income/Employment
- Rental History
- Credit/Background
Valid ID Verification
- Government-issued ID required for all applicants.
- Non-U.S. citizens: Must provide a valid passport and visa covering the lease term.
Income/Employment Verification
- Gross monthly household income must be at least 3 times the rent.
- Examples of acceptable proof of income includes but not limited to:
- Pay Stubs: Covering at least the most recent 30 days from application
- New Employment: Offer letter at new employment and last 30 days of paystubs from prior employment.
- Housing Vouchers: Copy of signed, valid Housing Voucher
- Other: Court-ordered child support or alimony with bank deposit statements
- SSI, disability benefits
- Self-employed applicants: Provide two most recent tax returns and up to six months of bank statements.
- Military applicants: Provide LES and assignment orders.
- Unemployed applicants: The employment section on the application is still required. Complete this section using your name and contact information.
Rental/Ownership History
- At least 2 years of verifiable residence history.
- Accurate Landlord contact information and lease dates are required.
- Less than 2 years of history may require a higher security deposit.
- Family and friends will not be considered verifiable rental history.
- Prior/Current Evictions and/or unpaid landlord balances may result in automatic denial.
- Applicants who are Homeowners may be required to provide proof of ownership and proof of on-time mortgage/tax payments.
Credit History
- Credit checks are conducted through Equifax.
- Credit score:
- Many of our properties require a minimum credit score of 600
- Credit scores below 600 may be considered at an additional deposit if all other qualifications are met. Your Leasing Representative will help you identify these “All Credit Considered” properties.
Criminal Background Check
- Background checks cover up to seven years.
- Nationwide search including sex offender and terrorist databases.
- Violent or drug-related felonies may result in denial.
Animal Policy
Pets
- Many of the properties are Pet Friendly. See listing description for each property to identify pet friendly properties.
- Some properties will have restrictions on breed, size, and/or quantity.
- Non-refundable pet fee: $450 per pet (due by Lease start date).
- Pets must be listed on tenant’s renter’s insurance.
- Unauthorized animals will result in a $1,000 fine and lease termination.
Assistance Animals**
- MacDoc Property Management complies with all Government Laws and Guidelines relating to Assistance Animals.
- Online certificates, ID cards, registrations and letters purchased online are NOT accepted.
- An Assistance Animal is a Reasonable Accommodation to the Lease and is not considered a pet, and therefore Pet Fees do not apply.
- Approved applicants will receive a Reasonable Accommodation (RA) Form.
- The form must be signed by a healthcare provider and returned for Reasonable Accommodation approval.
**As of July 1, 2023, House Bill 1725 introduced amendments to Virginia's Fair Housing Law making it a violation of the Virginia Consumer Protection Act to provide fraudulent supporting documentation to evidence the existence of a disability or disability-related need for a person requesting a reasonable accommodation for an assistance animal. Such actions are punishable by monetary fines.
APPLICATION DECISION
- Once your application is completed, you will be notified by our Leasing Team of the decision.
- Approved applicants will be guided by our Leasing Team for viewing and/or securing a rental property.
- A security deposit will be required to hold the property and begin the lease signing process.
Important Occupancy Policies
- No Smoking: Smoking inside any property is strictly prohibited. Violations may result in fines or eviction.
- Inspections: Periodic inspections will be conducted at all occupied approximately every 6-8 months
- Unauthorized Occupants: Only those named on the Lease are authorized to reside in the home.
Acknowledgment
By submitting an application, you confirm that:
- You have reviewed these guidelines and meet all qualifications.
- Providing false or misleading information will result in denial.
- Application fees are non-refundable.
